Software Project Handover Checklist for Business Owners
Quick answer: A software handover should let an authorized team operate, update, and recover the product without relying on one person's memory. Request source access, deployment instructions, account ownership, configuration guidance, data recovery procedures, test evidence, and support responsibilities. Verify the important steps through a walkthrough before accepting the handover.

A working website or app is only part of the delivery. The business also needs to know who controls its accounts, how changes reach production, and what happens when a service fails.
This checklist is for business owners commissioning custom software. It defines technical and operating deliverables. It does not determine intellectual-property rights or replace the written commercial agreement.
Agree deliverables before the build ends
Put handover requirements in the project brief. Waiting until launch can reveal that source access, hosting transfer, documentation, or support was outside the agreed scope.
Name the receiving team. A developer taking over needs different detail from an operations manager handling user support. The handover can include both, with clear responsibilities.
Use a practical delivery checklist
| Deliverable | What to verify |
|---|---|
| Source repository | Authorized business owner has the agreed access |
| Setup instructions | Receiving developer can run the project in a clean environment |
| Deployment process | Team can identify and release the intended version |
| Accounts and billing | Hosting, domains, app stores, and vendors have named owners |
| Configuration | Required settings are documented without exposing secrets |
| Data operations | Export, backup, restore, and retention responsibilities are clear |
| Tests and known issues | Critical workflow checks and remaining limitations are recorded |
| Support plan | Incident contact, response expectations, and exclusions are agreed |
The required depth depends on the product. A simple web tool and an offline mobile SaaS application will not have identical handovers.
Verify source access and repository backup
Source files should include the parts needed to build the delivered product, according to the agreement. Ask whether large files, dependencies, submodules, or separate repositories are involved.
GitHub documents repository backup using a mirror clone and notes separate handling for Git Large File Storage objects. A source archive is therefore something to verify, rather than assume from a visible repository page. GitHub repository backup guidance
A repository backup is not a backup of production customer data, uploaded files, or every vendor setting. List those assets separately and assign an owner to each.
Walk through deployment and rollback
Ask the receiving team to deploy a known version to a safe test environment using the supplied instructions. Confirm where configuration values come from and how access is granted securely.
Then explain how to recover from a failed release. Application rollback and database recovery can be different actions. A database change may prevent an old app version from working, so the plan needs to cover that situation explicitly.
Record who is allowed to release, who reviews a risky change, and who can stop a release if a critical task fails.
Demonstrate recovery with an appropriate test
Check that backups are being created and that the responsible team understands restoration. For an important workflow, a restore exercise in a separate environment can reveal missing files, configuration, or instructions.
Agree how much recent data the business can afford to lose and how long disruption can last. Those are requirements to discuss, not universal guarantees a developer should assume.
Include integrations and pending work. Restoring a database can leave connected systems in a different state. The API integration guide explains why reconciliation belongs in the operating plan.
Transfer knowledge and access safely
Provide a short architecture overview, the main workflow rules, and a list of important external services. Record known issues and the situations users need help with.
Use an appropriate access-management process for credentials. Do not place passwords in a public repository or ordinary handover document. Verify replacement access before removing the outgoing team’s access.
For mobile software, include signing and distribution responsibilities. For SaaS, include tenant administration and support-access rules. The permissions guide gives useful questions for that discussion.
Finish with a clear acceptance record
List what was delivered, what was demonstrated, and what remains open. Assign each open item an owner and an agreed next action. Distinguish defect support from future changes.
